Creating and Managing Subscriptions in TIEIT

Overview

Subscription in TIEIT lets you automate recurring billing for products and services associated with a contact or company. Once configured, subscriptions control when invoices are generated, how billing occurs, and — if enabled — how payments are collected. This article explains how subscriptions work, how to create and customize them, and how to manage them over time.

What Is a Subscription in TIEIT

Subscription represents a recurring billing agreement between you and a contact or company in TIEIT. It generates invoices on a defined schedule based on products or services you select, and optionally charges those invoices automatically using saved payment methods.

Subscriptions help you handle ongoing services, retainers, and other recurring revenue without manual invoicing every period.

How to Create a Subscription

A contact (or a company with a primary contact) is required before you can create a subscription.

Step 1: Start a New Subscription

  1. Navigate to the Transactions module > Subscriptions > + New Subscription.

  1. From the Create Subscription page, Search for and select a Contact (or Company).

    The contact you choose will be associated with all billing and communication for this subscription.


Step 2: Enter Subscription Details

Fill out the following fields:

  • Subscription Start Date — When the subscription becomes active.
  • First Charge Date — When the first invoice will be generated.
  • Invoice Subject — Appearance of the subject line on subscription invoices.
    • Optional: Choose to Display on the first invoice only.
  • Billing Address — Used for invoice records and payment notices.
  • Currency — The currency in which billing occurs.
  • Payment Terms — When payment is due (e.g., Due upon receipt, 15 days, 30 days, or custom).
  • Next Bill Date — Automatically calculated based on selected products.

Step 3: Add Products and Services

Use the Products/Services section to add line items. At least one recurring product must be associated with the account to create a subscription.

The products you add determine how often billing will recur.

How Products with Recurring Billing Work with Subscriptions

Subscriptions in TIEIT rely on recurring products to determine billing frequency and renewal behavior. When you add a product to a subscription, TIEIT looks at the product’s recurring period to decide how often invoices should be generated (weekly, monthly, or yearly).

Only products with Recurring enabled can drive subscription billing cycles. One-time products can still be added, but they do not control renewal frequency.

Step 4: Configure Auto Charge

Auto Charge is OFF by default.

When turned ON, TIEIT will process subscription invoices automatically using the default card on file for the selected contact.

If Auto Charge is left OFF, invoices are generated and must be paid manually by the customer.

Step 5: Save and Send

After completing the required fields:

  • You can either choose Save and Close or Save and Send according to your requirements.
  • Use Send Mail ON/OFF to control whether the customer receives a notification.

Creating a Subscription from an Invoice

You can quickly create a subscription from an existing invoice, as long as the invoice includes a recurring product.

This is useful when a one-time invoice needs to be converted into an ongoing billing arrangement.

How It Works

  • Go to the Invoices listing page.
  • Locate the invoice that includes a recurring product.
  • Click the three-dot menu on the right side of the invoice row.
  • Select + Create Subscription.

That’s it. TIEIT will automatically create a subscription using the invoice details and redirect you to the newly created subscription, where you can review or customize it further.

Things to Note

  • The invoice must include at least one recurring product.
  • Product billing intervals defined at the product level determine the subscription’s billing cycle.
  • You can edit billing dates, payment settings, and auto-charge preferences after the subscription is created.

Customizing an Existing Subscription

Once a subscription is created, you can modify its settings:

  • Payment Method — Choose which card to use for Auto Charge.
  • Billing Address — Update the address used for invoices.
  • Email Recipients — Adjust CC, and BCC fields for subscription notifications.
  • Billing Cycle Options:
    • Auto-renew until canceled
    • Fixed number of billing cycles

These options let you tailor billing behavior and communication preferences as needed.

Managing Subscriptions

You can manage all your subscriptions from the Subscriptions listing page. From here, you can:

  • View subscriptions and their statuses
  • Edit subscription details
  • Send subscription notifications
  • Activate or deactivate subscriptions
  • Delete subscriptions no longer needed

Viewing Subscriptions from Contact and Company Records

In addition to the Subscriptions listing page, subscriptions are also visible in related records:

  • Contact Detail Page
    • Subscriptions linked to a contact appear under the Transactions tab.
  • Company Detail Page
    • Subscriptions appear under the Transactions tab only if the subscription was created with that company.

This makes it easier to review and manage subscriptions directly from the contact or company associated with the billing.


Frequently Asked Questions

What do I need before creating a subscription?

You must have a contact in TIEIT. Subscriptions cannot be created without selecting a contact or a company with a primary contact.

What’s the difference between Start Date and First Charge Date?

  • Start Date is when the subscription becomes active.
  • First Charge Date determines when the first invoice is generated.

These dates can be the same or different.

How is the Next Bill Date set?

TIEIT calculates the Next Bill Date automatically based on the products or services added and their billing configuration.

Do subscriptions bill automatically by default?

No. Auto Charge is off by default. Once you enable it, billing occurs automatically using the contact’s default payment method.

What happens if Auto Charge is enabled but no card is set?

Invoices will be created but cannot be automatically charged. The customer must pay the invoice manually.

Can I edit a subscription after it’s created?

Yes. You can update billing settings, products, payment methods, email settings, and billing cycles from the subscription detail page.

Will cancelling a subscription issue a refund?

No. Cancelling or deactivating a subscription stops future billing but does not automatically issue refunds.

Where do I manage all subscriptions?

The Subscriptions listing page is the primary place to view, edit, activate or deactivate, and delete subscriptions.

You can also view related subscriptions directly from:

  • The Contact detail page, under the Transactions tab
  • The Company detail page, under the Transactions tab (only if the subscription was created with that company)

This gives you flexibility to manage subscriptions either centrally or from the related contact or company record.
