How to Safely Edit Form Fields Without Breaking Automations
Overview
Automations often depend on the exact field values set up in a Form. If you edit those values — for example, by renaming, removing, or adding options — the Automations linked to that Form may stop working.
To help you avoid these issues, the system now prevents risky edits and provides clear warnings on Forms and Automations that are affected.
What’s Inside this Article
Why This Matters
- Automations reference Form fields directly.
- If a field changes, the Automation may not recognize it and can fail.
- The system alerts you at the right time and place so you can review and update Automations before they break.
What Happens When You Edit a Form Field
- Form Field Edit Page
When you try to edit a field that’s linked to an Automation, you’ll see a warning at the top of the edit window:
⚠️ Warning: This form field is currently linked to Automation. After making changes here, please also update the associated Automation, otherwise they may stop functioning as expected.
You’ll need to check the box to confirm you want to proceed. See the screenshot below.
- Automations Listing Page
If a Form has been updated but Automations haven’t, a banner appears across the top of the Automations listing page:
⚠️ Form changes detected: There are Automation(s) linked to Forms that have been modified. Please review and update the Automation to ensure it continues to function correctly.
Affected Automations also display a warning label so you can quickly identify them.
- Automation Detail Page
When you open an affected Automation, you’ll see a warning banner at the top of the page:
⚠️ Warning: The Form linked to this Automation has been updated. To prevent this Automation from breaking, please review and update it accordingly.
How to Safely Edit a Form That’s Part of an Automation
- Consider whether the field is used in Automation conditions or triggers.
- If it is, be ready to update those Automations immediately.
- Confirm the warning and save your Form changes.
- Go to the Automations listing page. Look for Automations with the warning icon.
- Open each Automation and follow the warning banner to update the logic.
- Update conditions, triggers, or actions to reflect the new Form values.
- Save changes.
- Submit a test response using the updated Form.
- Verify that Automations run correctly.
Best Practices
- Avoid frequent edits to Form fields tied to Automations.
- Notify teammates when making changes, especially if multiple people manage Automations.
- Always test Automations after Form changes.
Editing a Form that’s linked to an Automation requires a bit of extra care, but the built-in warnings and restrictions are there to guide you. Always review the Automations listed in the warning, make your Form changes carefully, and then update those Automations right away. Taking these steps ensures your workflows continue running smoothly without interruption.
