How to Set Up Email Parsing


You can set up email parsing to collect data for new contacts if you collect leads though other sources by email.


For example, perhaps you receive emails from leads@abcco.com with details about a lead’s first name, last name, address and email address. To save time having to manually add these contact details on TIEIT, you can set up a source with email parsing so these lead details automatically get added on TIEIT.


These are the fields that can be parsed (added) to TIEIT from the lead email.

  • First Name: 
  • Last Name:
  • Email: 
  • Address: 
  • City: 
  • State: 
  • ZIP/Postal Code:
  • Country: 

To set up email parsing, please follow the instructions below.


  1. Click the CRM module on the left panel to open any CRM listing page.

  1. On the top blue menu bar, click the icon with the 3 circles on the top right. Click sources.

A source helps you determine how a contact came into TIEIT. For example, if you manually add them to TIEIT, the source is typically named “direct”. You can create any source name and use this when new contacts are added on TIEIT.

  1. Click the green +Source button on the top right of the page to create a new source.

To edit an existing source, click the icon with the 3 circles to the right of the source name and click the edit button.

4. A popup will appear where you can enter details related to the source and the email parsing details. In this area, enter a name for the source and in the parser email patterns section, enter the FROM email address of the lead email you are receiving. 


For example, if the lead emails you receive come from leads@abcco.com with details about a lead’s first name, last name, address and email address, use this from email address leads@abcco.com.


You can also enter any other details such as the assignee of the contacts that get added through this source. Click the save button when done.



  1. In order to add these contacts to TIEIT, you will need to speak to the person or organization that sends you these lead emails so that your TIEIT email address gets added to the TO or CC line in the lead emails. This unique email address will connect the information you receive from the lead source to TIEIT. To get this TIEIT email address, click your user icon on the top right of the page and then click the settings button.


  1. Make sure you are in the account preference section. Scroll down to the bottom of the page to find your TIEIT email address. Copy your TIEIT email address and send it to the person or organization that sends you your lead emails. This email address will need to be added to the TO or CC line in every lead email that you receive.




Notes:

  • If you do a test to check to see if the lead emails get added to TIEIT, make sure that the test lead contact in the lead email DOES NOT EXIST on your TIEIT account. If this contact already exists, the source information will be a different one because the contact was already added to TIEIT. We would recommend to delete that test contact before sending a test or using a lead contact email added in the lead email that has not been added to TIEIT already.

  • In order for the lead information to be added to TIEIT, in the lead email you receive there will need to be an email address in the lead's email field. The email will also need to be different for each contact. If the email already exists for a contact on TIEIT or if there is no email address for the contact in the lead email, that contact will not be added to TIEIT because TIEIT uses emails as the unique identifier for contacts.
